Delegate Selection and 2010 Congress Required Activities

Required Delegate Activities for 2010 Congress
Please read this section carefully as there have been some substaintial changes to the Congress schedule for 2010.
Official Delegates at AORN's annual Congress are expected to attend the following business activities. Please be sure to confirm times and room locations in the January 2010 Pre-Congress Journal and publications distributed at Congress.
- Sunday, March 14 - Candidates Forum (10 am - 12:30 pm)
- Tuesday, March 16 - First House of Delegates (3:30 - 5 pm)
- Wednesday, March 17 - Forum (8 - 9:30 am)
- Thursday, March 18 - Voting (7 - 10 am)
- Thursday, March 18 - Second House of Delegates (12:30 - 2:30 pm)
New for 2010, there will only be one Forum. In an effort to allow more time for Delegates to obtain contact hours, the First Forum has been eliminated.
Delegates can cast their ballots on Thursday, March 18 from 7 to 10 am. Delegates must bring their Delegate badge and scan card to be eligible to cast a ballot. Delegates must have their scan cards to enter the polling area. NO Delegate ticket is required to vote.
Delegate Selection
Although Chapters must abide by National Bylaws for eligibility and the number of Delegates allotted to each Chapter, Chapter leaders can tailor the Delegate selection process to meet their needs and philosophies. The Delegate selection process can be used as a means to motivate people to get involved. Keep in mind, however, that rewarding the same people year after year may discourage new people from getting involved. When the same people receive funds every year, new people may believe the "old guard" is going to go regardless of the contributions they may be tempted to offer. Remember...AORN Congress may itself serve as a motivator for people to get involved. When people attend Congress for the first time, they may come back and contribute more to the Chapter because they have a better picture of what the organization is really about. A high performance Chapter will be sure its Delegate selection policy covers reward and recognition. This acknowledgement rewards people for past contributions and builds incentive for new people to commit to future contributions.
Point System
If you decide to use a point system, a record keeper should be designated to record the points. If your Chapter prefers not to appoint a record keeper, each member can be responsible for recording his or her own points. A sample point system can be downloaded from the "Supporting Documents" to the left on this page. The information provided in this section can be used to construct a point system customized for your Chapter.
You can formulate your own description of activities and assign point values. An attendance roster for meetings (ie, business, committee, education programs) can be a means of keeping accurate accounts. The record keeper would be responsible for obtaining the rosters from the President or designee and updating each member's record appropriately. At the end of the allotted time span for accrual, the Nominating Committee can total the points accrued by each member and make their selection.
NOTE: The records also can be used as a reference for the Nominating Committee in checking eligibility and Chapter activities of members who wish to become local officers, Board members, or members of the national Nominating Committee.
Delegate Registration for Congress and Communications with Headquarters
A Delegate letter is sent to the Chapter President in July to indicate the number of Delegates each chapter is allotted according to the June 30 calculation. The President should present this information at a summer or the first fall Board meeting to assist in planning the fall events. Chapter leaders should encourage Delegates and Alternates to register for Congress by the early registration deadline to save money on the registration fee.
As Congress approaches and the final list of Delegates is confirmed, the Delegate Chair should enter the Delegate and Alternate names into the online Delegate Selection System. Delegate and Alternate confirmation letters with the Delegate responsibilities is distributed via email to all Chapter President's in the January Chapter Leader Bulletin and will be available on this page under Supporting Documents. It is the Chapter's responsibility to copy and distribute this information.
Over the years it has become evident that people cannot always predict who will actually be attending Congress, regardless of who has been chosen by the Chapter's Delegate selection process. Delegate confirmation lists will be available onsite at Congress. Delegate changes must be made at the Delegate Counter by 5 pm on Wednesday, March 17, 2010.
