Poster Guidelines

BEFORE beginning your submission, READ this page. The items on this page will assist you with the submission process and give you important information that you will need if your poster is accepted for display.

Submissions
You are submitting an abstract (description) of the information you will be providing on the actual poster if it is accepted for Congress. (If you already have a complete poster that you have displayed elsewhere, you must still submit an abstract of the information to have it reviewed for acceptance at the AORN Congress.)

The folowing information is required in each submission:
Contact person - The contact person for your submission will be the link between AORN and all authors. The contact person is responsible for passing on all information to everyone involved on the poster.
Authors - Please provide ALL of the authors names who will potentially be designated on the accepted poster. It is much easier for the Program Coordinator to delete a name than to have to add multiple authors once the abstract has been accepted. (Note: If you don't have the contact information for other authors at the time of submission, use your own rather than not adding that author. You may also type "Will provide later" in the field for the author bio.)
Title -
 Keep the poster title simple, yet informative. Use title case (ie. "Submitting a Poster for AORN Congress"). Do not use all upper or all lower case.
Abstract - The abstract (description) of your project should be written in paragraph form. Please see the Research/Evidence-Based poster page or the Clinical Improvement/Innovation poster page for specifics of what should be included in the abstracts for each poster type.

Required Documents (upon Acceptance)
Release of Contact Information - One person will be required to submit a Release form indicating that AORN may or may not publish and/or release your name and E-mail address.
Conflict of Interest Form - Every author must complete and sign a Conflict of Interest form and the contact person must then submit them all to AORN.
Narrative Biography - Every author is required to complete a short narrative biography that shows their expertise in the abstract subject matter and the contact person must then submit them to AORN if they weren't included in the original submission.

Important Poster Information
Creating your Poster Display -
* Poster Size - The poster dimensions should be no larger than 7.5 feet long by 3.5 feet high.
* Lettering, charts, graphs, drawings, or photographs must be quality form.
* Poster text should be readable from a 4 to 6 foot distance.
* The name(s), credential(s), and facility(s) of all authors must be listed on the poster.
* Absolutely no commercial support may be shown on the poster. Product photos may be used only if the manufacturer name cannot be seen in the photo. Using company names or specific products in the poster text is also prohibited. Non-compliance with this rule will result in the poster being removed from display without warning.
* A laminated poster is the easiest to display on the boards provided (see Displaying Posters at Congress for more information).

Displaying Posters at Congress -
* The poster author(s) are solely responsible for displaying the poster at Congress. To be included in the judging process, the poster must be on display by the designated day and time. (Clinical posters are judged on Saturday afternoon. Research and Evidence-Based posters are judged on Sunday morning. The specific deadline time will be provided in the acceptance letter.)
* Poster Number - A new poster number will be assigned to each poster prior to Congress. Use this number to locate your assigned poster board.
* Display Board - A cloth-covered tack board will be provided for each poster.
* Title Sign - A 4 x 22 inch sign with the poster # and title will be provided by AORN. It must remain at the top of the board.
*Abstract - AORN will provide one copy of each abstract and will attach each to the designated poster board.
*Handout material - You may bring business cards or other handout materials, but all items must be attached to the board.
*Attaching Poster - T-pins, like those used for upholstery, are the best way to attach a poster to the boards. Regular push pins also work, but the points are shorter, so you will need a lot to hold the poster to the board. (Velcro does NOT stick to the cloth on the board.) Laminated posters work the best because they are lightweight and will roll to fit in a tube. Posters made from foam core are harder to transport and to hang on the board.

Authors at Posters
All authors are asked to be at their posters on Monday, March 15, 2010 from 11:30 am - 1:00 pm to respond to any questions from participants.

Expenses
* Any expense associated with poster display(s) will be the responsibility of the poster author(s). AORN does not offer expenses for poster authors.

Poster Removal
* Posters must remain displayed until noon on Thursday, March 18, 2010. Please do not remove your poster prior to noon on Thursday as attendees will still be viewing them for contact hours.
* AORN assumes no responsibility for posters remaining in the display area following the conclusion of all official AORN activities on Thursday. Any items remaining will be discarded.
